Wm. farmer and sons policies
The safety of our customers and employees is our top priority. In order to maintain a safe and healthy environment, we are taking the following measures:
Enhanced cleaning protocols. We incorporate the use of EPA recommended antimicrobial cleaning products and have increased the quantity of sanitizers and disinfectant wipes available for customers and employees throughout our property.
Sharing resources available. There are multiple Travel Insurance Policies that have been mandated to add the COVID-19 as a reimbursable peril should a trip need to be cancelled. We suggest reaching out to a Travel Insurance provider to request this specific coverage. AIG has a strong policy for this sort of coverage and you can view their website here.
General Booking Policies
Two night minimum stay requirement on all weekends.
All Federal Holidays that either fall on a Monday or Friday or are observed on a Monday or Friday require a three-night minimum stay. Federal Holidays are: New Year's Day, Martin Luther King Day, Presidents Day, Memorial Day, Fourth of July, Labor Day, Columbus Day and Veteran's Day.
One night weekend rentals are granted whenever possible but are solely at the discretion of the reservationist and based on the booking schedule at that time.
Check-in is 3pm. Check-out is 11am.
Contact information required for at least one person per room
A 50% deposit is charged at the time of booking to secure a room.
The deposit is non-refundable unless the reservation is cancelled, as per our cancellation policy.
Guests requesting credit card payment (deposit and/or balance) to be refunded and paid with an alternate form of payment will be subject to an 8% handling fee.
Reservations made with a gift card still require a credit card to be held on file.
The remaining balance is charged to card on file 72 hours prior to check in. If you would like to arrange an alternative form of payment for your remaining balance ie. Cash, Gift Card or a different Credit Card, please inform us at least 72 hours prior to check-in.
There is no smoking in any of Wm. Farmer and Sons rooms. A $150 cleaning fee will be charged if any evidence of smoking is found.
No guests other than those on individual room reservations are permitted on property unless in public spaces: the Restaurant, Bar or Mercantile. Public spaces do not include our common areas: the Merchant House first floor and the main hotel 3rd floor deck.
No organized gatherings are permitted unless pre-approved and arranged through management.
Maximum Guest Accommodation Policies
Our rooms with one bed are able to accommodate two adults. Our rooms with two beds are able to accommodate four adults. Air mattresses are provided for children only and cannot be set up in all rooms.
We cannot accommodate more than two adults per bed. If you show up with more than the maximum number of guests your room can accommodate, we will be forced to turn you away due to code restrictions.
Cancellation Policies
Cancellations made 14 days or more prior to the check in date receive a full refund minus the $50 Administrative Fee.
The Administrative Fee is charged per room. (Ex. – 2 room reservation = $100 Administrative Fee)
Cancellations made 14 days to 72 hours prior to check in date the 50% deposit becomes nonrefundable.
Cancellations made less than 72 hours prior to check in are subject to the full cost of stay.
Partial cancellations within the two week or 72 hour cancellation periods will follow our standard cancellation policy.
Please note that reservations made within our 72 hour cancellation period are charged the full balance at the time of booking and are non-refundable.
We live in an area that can have inclement weather. We suggest you look into securing travel insurance. Our cancellation policy will be upheld and we will not issue refunds due to weather.
Pet Policies
Bring your dog with you! We know that your furry friend is part of the family and we welcome well-behaved, non-aggressive, vaccinated dogs less than 30lbs.
A few things to note:
· Pet Fee: a non-refundable pet fee of $75 per dog will be added to your folio to cover the cost of additional and necessary cleaning in preparation for our next guest.
- Your dog must weigh less than 30 lbs or 13.5 kg
- Proof of vaccination is required.
· No more than 2 dogs are allowed per room.
· Dogs are not allowed in the following rooms: all of The Merchant House, The Lee Wendell, The James Louis, The Kemp and The Margaret.
· Pets must be leashed or caged while in public areas.
· In order to prevent damage to the room or harm to one’s pet, if left in the room unattended, your dog must be well accustomed to remaining in a crate without barking.
· If you do not have a crate, then your dog must not be left alone in your room.
· For the safety and comfort of your dog and our staff, housekeeping service should be pre-arranged at a time the dog will not be in the room. Housekeeping will enter your room only if your dog is not present.
· You must provide a cell phone number upon leaving your dog in the room. In the case that your dog becomes a disturbance, you will need to be able to return to your room immediately.
· We reserve the right to require immediate removal of any pet that displays dangerous or unacceptable behavior, including, but not limited to: biting, excessive noise, evidence of disease, or urination/defecation in public areas. Each guest is responsible for all charges that relate to the removal of his/her pet.
· Should your pet inadvertently cause any damage, you will be charged for cleaning or repairs.
Quiet Hours
Due to the historical nature of Wm. Farmer and Sons’ buildings, sound travels easily between rooms. We ask that you are respectful of other guests and observe our quiet hours between 11pm and 9am.
Cleaning Fee for Exceptional Messes
Wm. Farmer and Sons strives to present each and every guest the best possible experience. We take great pride in our appearance, upholding ourselves to the highest of standards. To ensure this quality for all, we are happy to maintain the rooms for all guests during their stay, including a daily refresh. We do, however, expect all guests to enjoy within reason and note that exceptional messes will not be tolerated. An additional fee will be charged for messes that result in the destruction of Wm. Farmer and Sons property: pillows, sheets, etc. Fee varies depending on the amount of damage.
Failure to Comply
Wm. Farmer and Sons strives to be a place for guests to escape and relax. Our onsite policies are in place to ensure all guests have a comfortable, happy and safe experience. For your protection, we have instituted a “failure to comply” stipulation to all policies. Any guest or guest of guest found to be disturbing the peace and not complying with our polices will be subject to a $250 “failure to comply” fee.
Crib & Air Mattress Policies
Pack-N-Play Cribs are furnished free of charge. Please request when making your reservation.
There is a $50 Setup/Usage fee for air mattresses. Please request when making your reservation.
Air mattresses are for children only, not adults.
Air mattress can only be utilized in The Annex Suites. We do not allow for air mattresses to be used in The Merchant House or The Wm. Farmer building.
City of Hudson Overnight Parking Rules
We do have free parking on the street in front of the Inn. Between midnight and 8am parking alternates. To avoid a parking ticket, cars must be moved to the odd side of the street when the next morning’s date is an odd number. Conversely, if the next day is an even-numbered date, cars should be parked on the even side of the street by midnight. For example: if you are parking at 9pm on the 1st of the month, park on the even side of the street, as it will become an even day at midnight. Alternatively, there is also a 24 hour parking lot across from the Amtrak station, which is 2.5 blocks south of the Inn. There is a small daily fee to park in this lot. Wm. Farmer and Sons is not responsible for parking tickets received by guests.
Partial Blocks of Rooms (3 or more rooms)
Room Blocks can be reserved once the rooms are released to the public for individual bookings: 3 months out for reservations May - November and 6 months out for reservations December - April.
50% deposit to hold the rooms, payable by check or credit card, dependent upon whether or not the deposit will be refunded or applied to the balance.
Deposit acts as a security deposit and Wm. Farmer and Sons reserves the right to retain all or a portion of the deposit in the event there is damage to any of the rooms. Assuming no damage to the guest rooms, the security deposit will be refunded 48 hours after all guests have checked out. Any damage incurred in excess of the 50% deposit will be charged to the Host’s card on file.
Cancellations made 30 days or more prior to the check in date receive a full refund minus the $50 Administrative Fee.

Cancellations made less than 30 days prior to check in are subject to the full cost of stay.
The Host will be required to provide Wm. Farmer and Sons with a rooming list for their guests and payment schedule upon booking. Reservations must be finalized at least a month prior to check in.
